Full Job Description

  • Regularly assign tenant work orders and city/county violations to Smart Asset Realty (SAR) maintenance technicians
  • Communicate with property owners as necessary regarding property citations and/or work orders seeking approval-specifically fire code violations and code violation orders
  • Coordinate SAR maintenance techs and 3rd party vendors to achieve tenants and city violation as work completion
  • Utilize AppFolio (SAR work order software) continually to update all active work orders and city violations to ensure all parties are aware of the latest information
  • Regularly train your SAR maintenance technicians on AppFolio
  • Schedule SAR maintenance technicians as necessary to expedite the completion of active work orders or city violations
  • Assist SAR maintenance technicians on their work order list to ensure work orders are being completed in a timely manner
  • Assist the Assistant Director of Maintenance Operations (ADMO) with weekly turn in of all work receipts from SAR Maintenance Technicians and guide as necessary on any missing information
  • Assist in 3rd party maintenance partnerships to be considered and used by Smart Asset Realty
  • Assist ADMO as needed in training and coordinating of field maintenance staff to fully complete all maintenance requests orders in a timely manner
  • Assist ASMO as necessary for building a proactive plan of maintenance staffing complications and “plus-ups” during busy maintenance and turn-in seasons
  • Capability to work independently and with a team in an office/work site environment
  • Job hours: minimum of 8:00 A.M. – 5:00 P.M. (Monday through Friday)
  • Weekly pull third party vendor and maintenance technician work order for weekly team meeting-every Thursday
  • Weekly pull and audit maintenance technician pay reports-every Monday
  • Monthly monitor and notify owners as needed for weekly property garbage monitoring schedule
  • Weekly complete owner property registration documents with various municipalities
  • Weekly add new managed properties to City of Milwaukee e-notify and manage e-notify list
  • Quarterly check SAR tech liability insurance for compliance and self manage
  • Oversee and coordinate annual municipal property fire inspections and work with vendors to complete necessary maintenance work
  • Daily pull completed maintenance work orders for maintenance techs and submit to accounting
  • Daily follow up with maintenance technicians to make sure city code violation orders are completed.  Track these orders daily
  • Daily monitor City of Milwaukee garbage orders in the morning and submit to third party vendors for completion and call City of Milwaukee Department of Neighborhood Services
  • Set a good example of strong brand identify for maintenance techs with SAR gear
  • Strong organization skills and ability to own projects/work orders
  • Provide customer service for tenants through calls, emails, and texts as necessary during regular business hours and emergencies as necessary
  • Excellent understanding of company systems and procedures
  • Minimum 3 years of customer relations and property management experience a plus
  • Valid driver’s license and vehicle to meet inspectors if necessary (mileage is part of SAR compensation package)
  • Strong computer and data entry skills
  • Excellent communication skills
